Data Cataloging, Assessments, and Remediation Plans for Migration of Data to an SAP and Siebel Platform

 

Business Issue 

As part of a company-wide systems conversion and reengineering effort, the Client needed to catalog, assess and remediate, within a five-month window, all the core ERP, CRM, Finance and Services systems data for conversion to a new instance of SAP and Siebel CRM. The client was significantly behind schedule, and lacked resources and expertise to execute a previously-defined data readiness process.

 

Solution 

Bardess teamed with the client to identify, design, standardize and enhance processes and tools for the Data Readiness effort. We served as facilitators and mentors for their implementation and use among the client team. Bardess assisted and counseled team members on the cataloging of system tables, conversion elements, and selection criteria governing conversion record selection. In addition, we structured and facilitated the gathering of business rules from users needed to assess data quality and identify defects. The team members defined and executed business rule compliance tests for completeness, uniqueness, frequency, integrity, relational integrity and accuracy. The tests results were analyzed and data defects were identified and quantified by the team. The results were presented to the business owners and remediation plans and strategies were jointly developed. The owners implemented the plans which were monitored and tracked by the team to ensure that results were within business-established defect tolerances.

 

Client Impact 

Client was successful in meeting an aggressive objective and timetable, assessing several hundred million data records, while successfully remediating over 0.9M of 1M identified data defects. Bardess transferred knowledge of data assessment processes and tool usage (including MS-Excel, MS-Access, SQL, First Logic’s IQInsight and Data Quality Suite) fundamentals to the client staff.

 

Data Cleansing and Migration Implementation to Oracle ERP

 

Business Issue 

The client needed data migrated from legacy systems to a new Oracle ERP system while improving overall data quality.

Solution 

Bardess consultants managed a project to cleanse customer site and billing unit data and migrate it into a new billing system. Project included standardization of site names, normalization and validation of site addresses, and the identification and consolidation of duplicate sites. Assisted in the actual migration of the data from the legacy systems to the Oracle platform. Analyzed the customer data and then identified strategies and plans to cleanse and migrate data using a combination of tools (First Logic), data conversion processes and manual reconciliation. Consultants worked as part of a client/consultant team to cleanse the records.

Client Impact

Bardess developed a comprehensive cleansing process and identified that approximately 40% of the records required cleansing. The team cleansed the records and improved the efficiency of the transformation processes.

 

Data Migration to Clarify CRM – Requirements, Gap Analysis and Implementation

 

Business Issue 

The client needed data migrated from legacy systems to a new Clarify CRM platform while ensuring that existing data needs are met by the new platform.

Solution 

Bardess consultants assisted in the migration of the data from the legacy systems. We identified gaps in the information Clarify requires and the information available in the legacy systems used by the client. The consultants recommended and implemented solutions to close the identified information gaps. Bardess then developed the migration strategy and assisted in the cleansing and migration of data from the diverse legacy systems to the new Clarify databases ensuring that the ETL (Extract, Transform & Load) tools used to migrate the records maintained or improved data consistency and accuracy. The solution included the cleansing of both customer and product master records, as well as maintenance equipment records.

Client Impact

Bardess’ efforts ensured a seamless migration of data from the legacy systems to the Clarify platform within an aggressive six-month window.

 

Data Migration Plan, Strategy and Requirements for a New Entitlement System

 

Business Issue 

As part of a larger project to redesign and realign customer service-related systems and processes, the client needed to establish and maintain a customer installed product base utilizing shipment and returns data available from existing system repositories.

Solution

Bardess consultants gathered client requirements and defined, planned and implemented a migration strategy. Specifically, we established a data migration basis and customized a methodology to support the logical assimilation of installed base data (both from a load and delta perspective). Proposed and refined an installed base implementation strategy that mitigated risks and volume for the initial data load. Analyzed and documented relationships and gaps between data sources and defined installed base data requirements. Defined data cleansing and transformation requirements. Participated in and facilitated the definition of migration data and functional requirements. Developed processes to support the migration and assimilation of source data into the new installed base intermediate and target repositories. Monitored IT development, testing and implementation of data migration assimilation and load processes and assisted in identifying, measuring and addressing issues and problems.

Client Impact

Client established a working installed base that: contained standardized, non-redundant installed product detail, mitigated or at least identified major data inconsistencies from data sources, integrated and accounted for replacements and returns, could serve as a usable data source in the subsequent development and refinement of related entitlement and other business processes that are dependent on consistent and centralized installed base detail.

 

Product Data Migration and Ongoing Installed Base Process Design

 

Business Issue 

As part of a major systems replacement project, Client needed product data to be migrated into the installed base of a new entitlement system.

Solution 

Bardess consultants participated in the definition of migration data and developed functional requirements. Subsequently, we designed the processes to support the migration and assimilation of source data into the target installed base repository, developed test plans, and assisted IT during the development and testing of these processes in addressing identified issues, questions and problems. Additionally, Bardess developed a design for a tool to be used in the management and reporting of ongoing delta updates from all source systems to the target installed base, including assimilation exceptions.

Client Impact

Client met deadlines for migrating and assimilating required source data into the target installed base repository. In addition, the Client had detailed requirements which were used for the development of an installed base assimilation management tool.

 

Customer Network Inventory and Data Revitalization Process Development

 

Business Issue 

Client was implementing a new billing system and needed to update legacy customer, product, service and financial data. Inaccurate customer records were negatively impacting the client’s business operations and revenues. A physical inventory of customer equipment had been determined to be the preferred method of correcting this situation.

Solution 

Bardess consultants developed the methodology, processes, systems and tools to perform the physical inventory and a corresponding implementation plan. Specifically, the consultants developed prototype systems, data cleansing processes, reconciliation processes and product translation tables, identified costs and benefits, developed laptop-based tools and processes to electronically inventory customer equipment and report results, developed systems and processes to reconcile inventory results and update customer records, developed processes to select and track customer inventory candidates, developed training materials and trained field technicians in the inventory processes.

Client Impact

Customer records were successfully updated increasing Customer Service efficiency and lost maintenance contract revenue was collected.
